Sales Foundry LLC ("Sales Foundry," "we," "us," or "our") is a Utah limited liability company that operates the Sales Foundry CRM, a web-based customer relationship management application available at salesfoundrycrm.com (the "Service").
This Privacy Policy explains how we collect, use, store, share, and protect information when you use our Service. It applies to all users of Sales Foundry, including individual subscribers and users accessing the Service through a business account.
By using the Service, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Service.
2. Information We Collect
We collect information in three ways: information you provide directly, information generated automatically when you use the Service, and information from third-party integrations you authorize.
2.1 Information You Provide
- Account information: name, email address, password (stored in hashed form), company name, phone number, and billing information provided at signup or in your account settings.
- Profile and subscription data: your selected plan, number of seats, and billing cycle.
- User Data: all contacts, companies, jobs, quotes, activity logs, follow-ups, notes, and any other data you enter into the Service. This is your data and you retain full ownership of it.
- Communications: messages you send to our support team or feedback you submit through the Service.
2.2 Information Collected Automatically
When you use the Service, we automatically collect certain technical and usage information, including:
- Log data: IP address, browser type and version, operating system, referring URLs, pages visited, and timestamps of access.
- Device information: device type, screen resolution, and language settings.
- Usage data: features used, actions taken within the Service, session duration, and error logs.
- Cookies and similar technologies: session cookies to maintain your login state, preference cookies to remember your settings, and analytics cookies to understand how the Service is used. See Section 8 for more detail.
2.3 Information from Third-Party Integrations
If you connect the Service to third-party platforms (such as email or calendar services), we may receive information from those services as authorized by you. We collect only the information necessary to provide the integration and do not access third-party accounts beyond the permissions you grant.
3. How We Use Your Information
3.1 To Provide and Operate the Service
- Create and manage your Account and Subscription
- Store, process, and display your User Data within the Service
- Process payments and send billing confirmations and receipts
- Send transactional communications: account confirmations, password resets, subscription updates, and service notices
- Provide customer support and respond to your inquiries
3.2 To Improve and Develop the Service
- Analyze usage patterns and feature adoption to improve the product
- Diagnose and fix technical issues and bugs
- Develop new features and functionality based on user behavior and feedback
- Conduct internal research and analysis (using aggregated, de-identified data)
3.3 To Communicate with You
- Send product updates, release notes, and feature announcements (you may opt out)
- Send security alerts and important notices about your Account or the Service
- Respond to your support requests and feedback
3.4 Legal and Compliance
- Comply with applicable laws and regulations
- Enforce our Terms of Service and this Privacy Policy
- Protect the rights, safety, and property of Sales Foundry, our users, and the public
- Respond to lawful requests from government authorities
4. How We Share Your Information
We do not sell, rent, or trade your personal information. We share information only in the following limited circumstances:
4.1 Service Providers
We work with third-party companies that help us operate the Service. These providers act as our data processors and are contractually required to use your data only to provide services to us and to protect it in accordance with this Policy. Current categories of service providers include:
- Cloud hosting and infrastructure providers (to store and serve the application and your data)
- Payment processors (to handle subscription billing; we do not store full payment card details)
- Email delivery services (to send transactional and product communications)
- Error monitoring and logging services (to detect and diagnose technical issues)
- Analytics services (to understand aggregate usage patterns; see Section 8)
4.2 Business Transfers
If Sales Foundry LLC is involved in a merger, acquisition, asset sale, or similar transaction, your information may be transferred as part of that transaction. We will notify you by email and through a prominent notice on the Service before your information is transferred and becomes subject to a different privacy policy.
4.3 Legal Requirements
We may disclose your information if required to do so by law or in response to a valid legal process (such as a court order or subpoena), or if we believe disclosure is necessary to: protect the rights or safety of Sales Foundry, our users, or the public; detect, investigate, or prevent fraud or security incidents; or enforce our Terms of Service.
4.4 With Your Consent
We may share your information with third parties when you explicitly direct us to do so or grant permission through the Service.
5. Data Retention
We retain your information for as long as your Account is active or as needed to provide the Service.
- Account and profile data is retained for the duration of your Subscription and deleted within 90 days following account closure.
- User Data (contacts, companies, jobs, notes, etc.) is retained during your Subscription. Upon cancellation or termination, your User Data remains accessible for export for 30 days, after which it is permanently deleted from our systems.
- Billing records are retained for seven (7) years as required by applicable tax and accounting regulations.
- Server logs and usage data are retained for up to 12 months for security and diagnostic purposes, then deleted or anonymized.
- Backup copies may persist for up to 90 days following deletion from active systems before being purged from backup storage.
You may request deletion of your data at any time by contacting us at sales@savageam.com. We will fulfill deletion requests within 30 days, subject to any legal retention obligations.
6. Data Security
We implement industry-standard technical and organizational security measures to protect your information, including:
- Encryption of data in transit using TLS (HTTPS)
- Encryption of sensitive data fields at rest
- Access controls limiting employee access to user data to those with a legitimate operational need
- Regular security reviews and vulnerability assessments
- Secure, hashed storage of passwords (we cannot access your password in plaintext)
No method of transmission over the internet or electronic storage is 100% secure. While we take your data security seriously and work continuously to protect it, we cannot guarantee absolute security. In the event of a data breach that affects your personal information, we will notify you as required by applicable law.
7. Your Rights and Choices
7.1 Access and Portability
You may access and review the personal information associated with your Account at any time through your account settings. You may export your User Data at any time using the export features within the Service. If export tools are unavailable for specific data, contact us and we will provide it within 30 days.
7.2 Correction
You may update or correct your account information directly in your account settings. If you need assistance correcting inaccurate information, contact us at sales@savageam.com.
7.3 Deletion
You may request deletion of your Account and personal information at any time. Upon request, we will delete your personal information within 30 days, subject to our data retention obligations described in Section 5. Note that deletion of your Account will also result in deletion of your User Data.
7.4 Opt-Out of Marketing Communications
You may opt out of non-essential marketing and product update emails at any time by clicking the unsubscribe link in any such email or by updating your notification preferences in your account settings. Note that we will continue to send transactional communications (billing receipts, security alerts, etc.) regardless of marketing opt-out status.
7.5 Cookie Preferences
You may manage cookie preferences through your browser settings. Note that disabling certain cookies may affect the functionality of the Service. See Section 8 for more information.
7.6 California Residents (CCPA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to delete your personal information, the right to opt out of the sale of personal information (we do not sell personal information), and the right not to be discriminated against for exercising your privacy rights. 7.7 European and UK Users (GDPR)
If you are located in the European Economic Area (EEA) or United Kingdom, you have rights under the General Data Protection Regulation (GDPR) or UK GDPR, including the right to access, rectify, erase, restrict, or object to the processing of your personal data, and the right to data portability. Our legal basis for processing your personal data is primarily the performance of our contract with you (providing the Service) and our legitimate interests in operating and improving the Service. 8. Cookies and Tracking Technologies
We use cookies and similar technologies to operate and improve the Service. Here is how we use them:
Essential Cookies
Required for the Service to function. These include session cookies that keep you logged in and security tokens that protect your account. You cannot opt out of essential cookies while using the Service.
Preference Cookies
Remember your settings and preferences (such as display options or notification preferences) so you do not have to reconfigure them on each visit.
Analytics Cookies
Help us understand how the Service is used in aggregate, which features are popular, and where users encounter friction. We use this data to improve the product. Analytics data is aggregated and not used to identify individual users. You may opt out of analytics cookies through your browser settings or by contacting us.
We do not use advertising or tracking cookies. We do not participate in cross-site behavioral advertising networks.
9. Children's Privacy
The Service is not directed to children under the age of 16 and we do not knowingly collect personal information from children under 16. If we become aware that we have collected personal information from a child under 16 without parental consent, we will take steps to delete that information promptly. 10. Third-Party Links and Integrations
The Service may contain links to third-party websites or allow integration with third-party platforms. This Privacy Policy applies only to Sales Foundry. We are not responsible for the privacy practices of third-party sites or services. We encourage you to review the privacy policies of any third-party services you connect to or visit.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, the Service, or applicable law. When we make material changes, we will:
- Post the revised Policy at salesfoundrycrm.com/privacy with an updated Effective Date
- Send an email notice to the address associated with your Account at least 30 days before the changes take effect
Your continued use of the Service after the revised Policy takes effect constitutes your acceptance of the changes. If you do not agree to the revised Policy, you must stop using the Service and may cancel your Subscription.
